Summary:
The Administrative Assistant/ Receptionist will act as the point person for all visitors. The position will work closely with various departments (Finance, Purchasing, HR, IT) to perform clerical tasks. The position will be responsible for maintaining the office storage, filing, scanning, and preparing documents and spreadsheets.

Essential Functions and Duties:
  • Greets and directs visitors as and when appropriate; resolves routine administrative problems, answers routine inquiries concerning activities and operations of department; accepts, screens, and routes telephone calls.
  • Performs a wide variety of word processing and data entry assignments which are sometimes confidential in nature; requires operating a personal computer utilizing MS Office to enter data; may be asked to draft, edit, revise, and print letters, tables, reports, and other materials; prepares photocopies and facsimiles, and operates a variety of office equipment; utilizes various software packages and office equipment necessary for completion of clerical tasks.
  • Provides support activities across multiple departments, such as answering telephones, assisting and resolving problems and inquiries of internal and external customers.
  • Drafts responses to routine inquiries for manager review.
  • Maintains calendars for self, manager(s) and department(s) as needed. Schedules appointments and makes meeting arrangements (able to manage conference room calendars and rearrange meetings)
  • Maintain and control inventories for office supplies and beverage requirements for conference room needs as well as employee break room use.
  • Establishes, maintains and processes files, records, certificates, and/or other documents for the department.
  • Arranges meetings and conferences; performs the necessary meeting set-up of conference rooms including beverage and meal arrangements; may prepare meeting materials such as agendas and minutes.
  • Makes travel and lodging arrangements in accordance with company policy and procedures. May assist manager(s) in completing expense reports.
  • Improve and maintain 5S in your area; make suggestions for improvements.
  • Participate in Lean/Six Sigma activities in own work area as well as events for other areas to enhance cross-functional problem solving.
  • Collaborate in team meetings and activities, including SET team support as appropriate.
  • Perform other job-related duties as assigned.
Distinguishing Characteristics:
  • Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters;
  • Orders, stocks, and distributes office supplies.
  • Attends and actively participates in monthly administrative assistant meetings.
  • Coordinates the department(s) Quarterly Communications Meeting (QCM) including preparing and/or creating presentations, distributing service award certificates and pins, and assisting with meal and beverage setup.
  • May develop, maintain, monitor, and reconcile internal department monthly reports; may prepare drafts of department documents.
Minimum Job Qualifications: (The following qualifications can be acquired and demonstrated through experience, education and/or vocational training as noted or as appropriate.)
  • Associate’s degree or technical school certificate. Knowledge of standard administrative and clerical procedures including managing files, records, designing forms and office terminology; ability to use general office equipment; knowledge of MS Office applications including Excel, MS Word, PowerPoint, and Outlook.
